Visitors to our Premises

Our car park area and premises are monitored by recording CCTV cameras. Recordings are held for approximately 14 days before they are overwritten.  If an incident requires specific recordings to be retained to be used either a evidence of that incident or to assist in the investigation of that incident, those recordings will be retained until they are of no further value to the investigation.

If the investigation becomes a formal legal matter, the recordings may be submitted as evidence and will be retained as part of the collateral for that case, for a period of up to seven years.

 

Our Customers

We must hold the details of our customers, their business and staff along with address, telephone numbers and email address.  We need this to perform our legitimate business dealings and provide a service or fulfil contracts.  We will never share or sell this information with third parties.

Job Applicants

We ask you for personal details including name and contact details.  We will also ask about your previous experience and education.  We will ask for referees and may ask questions relevant to the role applied for.  Our recruitment team will have access to this information.

Our hiring managers shortlist applications for interview and will be provided with all the information gathered about the applicants.

We may ask you to attend an interview which may generate information about you, for example interview notes.  This information will be held by Ringwood Fencing.

If you are unsuccessful following assessment for the position applied for we may ask if you wild like your details retained on file should any further suitable vacancies arise, this will be retained for 6 months.

Job Offer

If we make an offer of employment we will ask you for further information and we may carry out pre-employment checks.

You maybe required to provide the following:

Proof of identity, proof of qualifications, referees, bank details, emergency contact details and proof of citizenship.

 

Use of Data Processors

Data processors are third parties who provide services to Ringwood Fencing.

Ellis & Co Accountants

If you are employed by Ringwood Fencing, relevant details about you will be provided to Ellis & Co who provide our payroll services.  This will include your name, address, bank details, date of birth, national insurance number and pay details.

NEST Pension Scheme

NEST provide our workplace pension plan, if you are enrolled in this then details will be shared to enable you to be part of the pension plan, including name, address, date of birth and national insurance number.

Personal Healthcare Management/Freedom Health Insurance/Bupa

For those employees eligible for health or dental insurance information will be passed to these insurers including name, address, date of birth and any relevant information they may require. 

Risk Services / Aviva

If you are permitted to drive a company vehicle your details maybe passed to Risk Services and Aviva so they can insure you.

Vivio

Vivio provide mobile phones services to Ringwood Fencing, if you have use of a company mobile phone your details maybe shared with Vivio so they can register the phone to you and administer the account.

How long is information retained for?

Employee records are retained by us as part of each employee file for the duration of employment and for 7 years afterwards.

Job applicant details will be retained for 6 months following application.

Customer information

If you stop being a customer of Ringwood Fencing we will retain your details for a period of 7 years following the cessation of trading with us.
